Number 8, consider and take appropriate action on the collaboration with the Texas Conference of Urban Counties for the tech share court and prosecution module projects including, a, update on status of projects, and b, request for resources.

>> I'm roger jeffries, serve as project sponsor for the tech share program.
by way of background, we came to y'all in July of last year and asked that the county participate in the conference of urban counties tech share program.
I'm sorry, let me introduce folks here.
vicky skinner, works for the d.a.'s office and is also the chair of the ijs steering committee.
charles gray from conference of urban counties and joe harlow, who is county executive for i.t.s.
we asked if we could participate in aren't the and bell cat in a phase one program to replace our fact system and also our prosecutor information management system.
we want to come today and give you an update on that and tee up what you are going to see in the coming weeks regarding that program.
we've been working hard to -- as a team to develop these business requirements and we're at a point almost to make some decisions and recommend to you all participation or not in phase 2.
and then also you all had put in the f.y.
12 budget both a reserve for the program and a reserve for resource requests from different departments and agencies participating in this program, and we are bringing to you our first request for those resources.
with that I'm going to hand this off to charles gray to give you a very brief update on the two modules that we've been participating in in the last several months.

judge Biscoe, Commissioners, my name is charles gray, conference of urban counties.
good to see you.
there are two major initiatives underway that are coming close to completion to phase 1 activities.
the first is in the prosecutor side which would affect both the district attorney and the county attorney's offices.
we have finished the requirements among the five counties that are participating.
they came together on a common set of requirements which is very positive.
we're estimating the cost now of implementing those requirements and the software that's been developed initially by tarrant county.
we've brought forward initial cost estimates to the oversight board for them to review.
on may 31 we're bringing a presentation to the oversight board, roger represents Travis County on the board, for consideration to move forward with the project into phase 2 on prosecutor.
that would be a custom system developed through the urban counties for use by at least five counties, dallas, tarrant, cameron, travis and bell.
so we're hopeful that's going to move forward with all those counties moving together.
on the court side, we have four counties participating, dallas, tarrant, travis and bell.
and we've finished a common set of requirements as well for those counties and are in the midst of an r.f.p.
process.
we went out for r.f.p.
to see if we could acquire through the urban counties a criminal court platform that we could build a system we could own and operate.
we're in final stages of that evaluation.
we received the best and final offers last week and will be recommend to go the oversight board consideration on those offers, again, on may 31.
so that's a big day for this project where it will be wrapping up this phase of it and bringing forward now hopefully in June recommendations for moving forward together.

>> again, you all put a $2.8 million earmark for the actual systems in the f.y.
12 budget along with a $700,000 earmark for additional resources for agencies.
we have two requests.
one from criminal courts administration and that's in the amount of $47,516 for staffing resources and the county clerk's office for 38,000.
so it's a total of 85,516 for f.y.
12 to draw down that reserve.
then do you want to talk about your request at all?

and that they be pulled from the -- did we call it the tech share reserve or just the technology reserve?

has been working with this group and we would be bringing before you budgets amendments and transfers next week that includes this information as well as just from additional information because we have received also f.y.
13 requests now and we wanted to present that to you just so you had a better, fuller picture.

we will be coming back to you as Travis County is also now participating in the tech share, the justices of the piece in the she can share program and we would like to come and give you an update.
charles and his crew are talking about a collaboration in technology with them as well.
