The 11, to consider and take appropriate action on the request for the assignment of space at the keith ruiz building for the records management and communications resources archives program and the travis county sheriff's office.

>> great morning. Roger el khoury with the facilities management department. Three years ago the commissioners court assigned the space, about 5,600 square feet for the disaster recovery center in the keith ruiz building.

>> is the short answer to the question why?

>> there is certain criteria that came up from the analysis of the of the data center and the associated disaster recovery center. Three of those as i remember. One of them is it's so close to the i-35, major thoroughfare if they have any spills or anything there, that's one. The second one is the helicopter pad to children's hospital. It's another criteria. The third one was it's within the 500 year floodplain. That's why the disaster recovery center cannot be permanently located at the keith ruiz building. Since that time we had about like 275,000 dollars' worth located at the disaster recovery center to buy equipment. At that time it was swept away by -- by the office of planning and budget because we don't need them anymore. And i think the space is sitting there empty. And what we are proposing to the commissioners court and we recommend is that space to be used by the records management arrest five program. It's -- archive program. It's a great space because it's high ceiling. They can stack for the shelvings, and also it's air conditioned. And that program doesn't invite the public from the outside and this would stay an original program that that space shouldn't have -- the disaster recovery center didn't have any f.t.e. Over there. And with the program right now with steven broberg's shop, there will only be one person operating that center. In addition to space, we are recommending to go to records management, which is 5,000 out of the 5,600. Some of that goes to the sheriff's department because they need additional space for their storage. And i think the court approve this space, reaassignment on that, i think that will serve the two department's needs. Thank you.

I want to make sure if records management end of you locating there if the court approve this, will that be adequate enough space for their needs currently and will that be a temporary situation because it may not be enough space? Would this be adequate enough for what they are intending to use it for?

>> my understanding from all the documents we have, yes, it is, it's permanent and they have more than enough space than what we need for future expansion.

>> for future expansion. Okay.

>> mr. Broberg, anything in addition?

>> yes, judge and commissioners, steven broberg, director of stmr. To answer your question, commissioner, the only thing that's not perfect about this space is that it's not downtown. We would prefer archives to be downtown if at all possible. City of austin has their history center just down the block and it works pretty well for a core function like that, but other than that this -- one of the beauties of this space too is that we can configure it and add shelving as we need it. And i think our -- our analysis on this is that this space will be adequate for 20 years. And it really is almost made to order. The ceilings are high, it's secure, it's got environmental controls that we want, including no windows. And we have enough material to -- i'm going to say we'll fill about one-third of it almost immediately, including materials that are currently at the city of austin that they would like to give back to us. So we consider this a real win-win for the archives program.

>> another good thing, you've got the sheriff's department right there next door to you. I mean, you -- they will be glad to protect and give you security for all the archived information that we have stored there.

>> and in addition --

>> i'm sorry, go ahead.

>> in addition to this, we also have the disaster recovery center. If there's any disaster happen like in a couple of years right now before we build the service center, that space still can be used for the disaster recovery center because the first two years are not going to be filled completely, the 5,000 square feet. And that was agreed by also the director of its.
